This policy explains what personal information Eventra Rentals LLC ("Eventra," "we," "us") collects when you visit eventrarentals.com, place an order, create an account, chat with us, or text with us, and how we use and protect it.

The short version: we collect what we need to rent, deliver and pick up your items. We never sell your information. We never share your mobile number or text-message consent for anyone else's marketing.

1. Information we collect

You give us:

  • Contact details: name, email address, mobile number.
  • Event details: event address, gate codes and access notes, requested delivery and pickup dates and times, items and quantities, guest counts and event descriptions from request forms.
  • Business account details: business name, business email address, and any PO or reference numbers you add to an order.
  • Payment details: entered directly into our payment processor's secure card form. We see only the card brand, last four digits and expiration. We never receive or store full card numbers or security codes (CVV).
  • Agreement and consent records: when you accepted our Rental Service Agreement and whether you opted in to text updates, with the date and time.
  • Messages: what you send us by email, text, phone, website forms or our website chat assistant.

Collected automatically:

  • Device and usage data such as IP address, browser type, pages viewed and referring site, collected by our website platform and analytics tools through cookies and similar technologies.
  • Your shopping cart and checkout progress, saved in your own browser so they're there when you come back.

2. How we use it

  • Price, process, deliver, set up and pick up your order.
  • Calculate your delivery fee from the driving distance to your event address.
  • Take payment, keep a card on file as described in our Rental Service Agreement, and send receipts and invoices.
  • Confirm delivery windows and send order updates by email and, if you opted in, by text.
  • Run your account: sign-in codes, order history, saved event addresses and business account discounts.
  • Answer questions, prepare estimates and provide customer support.
  • Prevent fraud, enforce our agreements, and meet tax, accounting and legal obligations.
  • Improve our website and services, and measure how our advertising performs.

3. Who we share it with

We share personal information only with service providers that help us run Eventra, and only for the purposes above. They may use it only to provide their services to us.

  • Payments and customer records: Square, which processes payments and stores our orders, invoices and customer records.
  • Website and hosting: Squarespace, which hosts our website, and Cloudflare, which runs our ordering and checkout service.
  • Maps: Google, which calculates driving distance from your event address. Addresses are cached for up to 30 days to avoid repeat lookups.
  • Messaging: our phone, text and email providers, which deliver confirmations, updates and sign-in codes.
  • Business tools: scheduling, calendar, automation and AI chat assistant providers that help us book deliveries and answer your questions.
  • Delivery partners: any third-party vendor coordinated for your order, limited to what they need to complete it.
  • Legal reasons: when required by law, to protect our rights or safety, or as part of a sale or merger of our business.

We do not sell your personal information.

4. Text messaging

If you check "Text me order updates" at checkout or opt in another way, we will text you about your order: delivery window, driver on the way and pickup. Message frequency varies by order. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Opting in is never required to place an order.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are excluded from all sharing described in this policy and will not be shared with any third parties, except the messaging providers that deliver our texts.

5. Cookies and analytics

Our website uses cookies and similar technologies to keep the site working, remember your cart, understand how visitors use the site, and measure advertising, including tools from Squarespace and Google. You can block or delete cookies in your browser settings. Some features, like your saved cart, may not work without them.

6. How long we keep it

We keep order, payment and tax records as long as needed for accounting and legal requirements. We keep account and contact information while your account is active or while we have an ongoing business relationship. Text-message consent records are kept as proof of consent. When information is no longer needed, we delete or de-identify it.

7. How we protect it

Card payments are handled by Square's secure payment form; card numbers never touch our servers. Our checkout service runs over encrypted connections, and access to customer information is limited to people and services that need it. No method of transmission or storage is completely secure, but we work to protect your information.

8. Your choices

  • Access, correct or delete: email bookings@eventrarentals.com. We may keep records we're required to keep by law, such as completed orders and payments.
  • Texts: reply STOP to any message.
  • Emails: use the unsubscribe link in any marketing email. We'll still send order and account messages.
  • Card on file: ask us to remove it once your items are returned, inspected and paid in full.

9. Children

Our website and services are for adults. You must be at least 18 to place an order or create an account. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we'll delete it.

10. Changes to this policy

We may update this policy. The effective date above shows when it last changed. Significant changes will be posted on this page.
